General Terms and Conditions

CANCELLATION CONDITIONS

Cancellation should take place in writing. Verbal cancellations are not legally binding. The date on which the written confirmation of the cancellation is received will be considered the definite date of cancellation. The cancellation fee will be based upon the total value of the reservation, as within the most recent confirmation letter of the group, event or conference.
With the beginning of the cancellation deadline, reductions, cancellations & modifications are free of charge according to the attrition indicated
If at any time within the cancellation deadline more than the granted free reduction is either cancelled, modified or reduced, this additional amount will be charged 100% of the contracted value.

NO SHOW

In the event of no show, the customer will, in all cases, be required to pay 100% of the reservation value (including VAT).

GDPR INFORMATION
In accordance with current data protection regulations, you are hereby advised that your data will be processed by NH HOTEL GROUP, S.A., with Tax ID A-28027944, and registered address at Calle Santa Engracia 120 - 7, 28003, Madrid. These will be processed for the purpose of managing your accommodation reservation, any customisation of services to be received during your stay, and sending out commercial communications, and the justification for this is the contractual relationship, except for sending the aforementioned commercial communications, which is justified by legitimate interest. Your data will be stored for 5 years, and in the case of commercial communications, until you expressly object. Your data may be disclosed to particular entities within the NH Group, which provide hotel and related services, which you may consult at the website www.nh-hotels.com, for the purpose of managing, processing and executing your reservation. In this regard, you are advised that these entities may be located outside the European Economic Area, and this transfer is required to provide the services requested. You are advised that you have the right to request access to your personal data, or rectification, erasure, objection to and restriction and portability of the same. You may consult additional detailed information on Data Protection in the Privacy Policy at www.nh-hotels.com.”

FORCE MAJEURE

The client and the Hotel may cancel this Agreement without liability as a result of Acts of God over which neither party has control including, but not limited to, war, government regulation, terrorism, disaster, strikes of others than those employed by the parties, civil disorder, unavailability of any transportation facilities consistent with those in existence at the time of contract, or other factors over which neither party has any control, making it impossible, illegal or inadvisable to perform materially the respective obligations within this Agreement.
In the event any of the aforementioned issues occur and affect twenty-five percent (25%) or more of attendees, any cancellation penalties or fees which would otherwise apply shall be waived in their entirety by Hotel.

Any deposits made by the client shall be refunded by cash or check to with the client by the Hotel within thirty (30) days of the Force Majeure event. Notwithstanding, the Hotel could deduct from such deposits all expenses incurred by the Hotel or by any third-party related to the execution of this Agreement. If said expenses will exceed the amount of the deposits, the pending amount shall be refunded to the Hotel by the client.

Damages

a) The Hotel has an insurance that covers the risks of Fire, Flooding, Robbery of guest's belongings and personal injury (liability insurance). Loss and theft from are not covered.
b) Except in the event of proven blame attributable to the Hotel or to its employees, the client shall be liable for all personal or material damage which might occur during execution of the agreement and shall take out, at his exclusive cost, such insurance as he deems necessary for this purpose.
c) The client shall be liable for any damage that the audiovisual equipment under contract or other property of the Hotel may sustain when such damage is the result of manifest misconduct or negligence by the client or the attendees at the event.
d) Except as indicated in paragraph a) above, the client shall be liable for all damage of any type suffered by materials, effects, documentation or any type of equipment not belonging to the Hotel or installed at the request of the client for the execution of the contract.

No official suppliers

Any project of decoration, technical installations and/or sundry fittings out of the Hotel rooms, lounges and meeting rooms will have to be agreed beforehand in writing by the management of the Hotel and carried out in accordance with current regulations and safety rules.
the client must provide the HOTEL with the project of set up /decoration of the spaces contracted at least 30 days before the event start date.
The Hotel will study it and come back to the client with approval or denial.
Any approval which might be granted will always and under all circumstances exclude any manner of perforation of floors and cladding materials of the fixing of posters which require the use of adhesive or glues on the walls, ceilings or floors of the premises being the object of the contract.
In the HOTEL, painting as well as noisy works are not allowed.

Except in case of prior authorization from the General Management of the Hotel, it is forbidden for client to supply, direct or via third parties, from outside the Hotel any drinks, food, tobacco, flowers and decorative plants or trees. All outside supplies will have to be submitted beforehand for the approval of the Food and Beverage department.

Storage & Materials and packages reception

In case the client needs to receive materials at the Hotel premises, the management of the Hotel shall be aware of the dates of the delivery and collection of materials.
The delivery of materials will not be accepted more than 24 hours prior to commencement of the event, always through the Hotel's tradesmen entrance.
All materials shall be perfectly identified with the name of the group and dates.

If storage of material will be needed, the Hotel shall be informed in advance about the dates and the necessary space of storage.
In case that an additional room will be required due to security conditions or dimensions, the Hotel may inform the client regarding the additional cost of the room, which shall be charged to the client at his acceptance.

Payment terms

For total amounts up to 2000 EUR

You will be charged 100% of the total amount up to 14 days before the start of the event

For amounts between 2000 EUR and 14000 EUR

You will be charged 50% of the total amount up to 21 days before the start of the event
You will be charged 50% of the total amount up to 14 days before the start of the event

From an amount of more than 14000 EUR

You will be charged 50% of the total amount up to 42 days before the start of the event
You will be charged 50% of the total amount up to 28 days before the start of the event

Cancellation Policies

For total amounts up to 2000 EUR

Free cancellation until 15 days to the beginning of the event
Until 1 days to the beginning of the event you will be charged 85% of the total amount.
Until 0 days to the beginning of the event you will be charged 100% of the total amount.

For amounts between 2000 EUR and 14000 EUR

Free cancellation until 43 days to the beginning of the event
Until 22 days to the beginning of the event you will be charged 50% of the total amount.
Until 15 days to the beginning of the event you will be charged 75% of the total amount.
Until 7 days to the beginning of the event you will be charged 90% of the total amount.
Until 1 days to the beginning of the event you will be charged 95% of the total amount.
Until 0 days to the beginning of the event you will be charged 100% of the total amount.

From an amount of more than 14000 EUR

Free cancellation until 91 days to the beginning of the event
Until 43 days to the beginning of the event you will be charged 50% of the total amount.
Until 29 days to the beginning of the event you will be charged 75% of the total amount.
Until 14 days to the beginning of the event you will be charged 90% of the total amount.
Until 1 days to the beginning of the event you will be charged 95% of the total amount.
Until 0 days to the beginning of the event you will be charged 100% of the total amount.
